1. Who we are
ClyOps Group Limited is a company registered in England and Wales. We act as the data controller of personal information collected through proposal.clyops.com, quiz.clyops.com, and the websites we build and host on our clients’ behalf. Contact: welcome@clyops.com.
2. What we collect
- Identity & contact: name, email, phone, business name, billing address, country.
- Configuration choices: which tier, add-ons, payment plan, and discount you selected on this page (saved to localStorage so your selection survives a refresh).
- Transactional: Stripe payment ID, subscription ID, last-four card digits (Stripe holds the full card — we never see it). Refund and cancellation events.
- Behavioural: page views, button clicks, scroll depth, session recordings via Microsoft Clarity (cookie-based), aggregate analytics (cookie-less).
- Marketing attribution: Meta Pixel + Conversions API events, GHL contact ID arriving via UTM parameters, referrer URL.
- Technical: IP address, browser, device, country (derived from IP via Vercel headers), preferred currency.
3. Why we use it (lawful bases)
- To deliver what you bought — performance of contract.
- To take payment, prevent fraud, and meet our financial-records obligations — legal obligation + legitimate interests.
- To improve the page and the configurator flow — legitimate interests (low-impact analytics).
- To run advertising and measure ad performance — consent (where required) or legitimate interests (where lawful without consent).
- To send you welcome / lifecycle / failed-payment emails — performance of contract or legitimate interests.
4. Who we share with
The third parties who process data on our behalf, all under signed data-processing terms:
- Stripe — payment processing, customer portal, billing.
- Vercel — hosting, edge delivery, IP-based country detection.
- Resend — transactional email (welcome, payment-failed, cancellation).
- Meta — advertising attribution via Pixel + Conversions API. Data sent server-side is hashed (email, name, phone, country) per Meta’s spec.
- Microsoft Clarity — session recordings + heatmaps. Microsoft processes data per its own terms; we mask sensitive form fields.
- HighLevel (GHL) — CRM, lifecycle automation, scheduling.
- Google Workspace — internal email + document storage.
We do not sell or rent personal data to anyone. We do not share data with advertisers beyond the conversion / attribution signals described above.
5. Where your data is stored
Primary infrastructure runs in the UK and EU (Vercel edge, Stripe Europe, Resend EU). Some sub-processors (Meta, Microsoft Clarity, GHL) are US-based and rely on Standard Contractual Clauses, the EU–US Data Privacy Framework, or equivalent transfer mechanisms. UAE-resident customers’ personal data may transit the EU/UK in line with PDPL Article 22 cross-border transfer permissions.
6. How long we keep it
- Active customers: for the lifetime of the subscription plus 7 years (UK tax/finance retention).
- Lapsed prospects (you visited, didn’t buy): up to 24 months from last interaction, then deleted from CRM.
- Failed-payment / cancellation event records: 7 years (audit).
- Stripe / accounting data: per Stripe’s retention; we delete our copy when we delete you.
7. Your rights
What you can ask for depends on where you live. Email welcome@clyops.com from the address we have on file and we’ll action any of the rights listed below within 30 days (UK/EU/AU/NZ/UAE) or 45 days (US-CCPA).
UK-GDPR (United Kingdom) & EU-GDPR (Ireland)
Right to access, rectify, erase, restrict, port, and object to processing. Right to withdraw consent for any consent-based processing. Right to lodge a complaint with the Information Commissioner’s Office (ICO)in the UK or the Data Protection Commissionin Ireland.
CCPA / CPRA (California, US)
Right to know what we collect, right to delete, right to opt out of “sale” or “sharing” (we don’t do either, but the right exists), right to correct, right to limit use of sensitive personal information, and right to non-discrimination for exercising any of these rights. California residents can use an authorised agent.
PIPEDA (Canada)
Right to access your personal information, right to challenge its accuracy, right to know how we use it, and right to file a complaint with the Office of the Privacy Commissioner of Canada.
Australian Privacy Act (Australia)
Rights under the Australian Privacy Principles (APPs) include access, correction, and complaint to the Office of the Australian Information Commissioner (OAIC).
NZ Privacy Act (New Zealand)
Right to access and correct your information under the Information Privacy Principles. Complaints can be made to the Office of the Privacy Commissioner.
UAE PDPL (United Arab Emirates)
Federal Decree-Law No. 45 of 2021 grants you the right to be informed about processing, access, rectification, erasure (subject to retention obligations), restriction, portability, objection, and withdrawal of consent. Complaints to the UAE Data Office.
8. Cookies & tracking
The site uses three categories of cookie / tracking:
- Strictly necessary — preserves your configurator state in localStorage, your locale selection, your cart. No consent needed.
- Functional — the GHL booking calendar iframe and Stripe portal session may set first-party cookies on clyops.com / stripe.com to make those flows work. Disabling them breaks the booking and billing experience.
- Analytics & advertising — Microsoft Clarity (session recordings) and Meta Pixel (ad attribution). Both may set cookies. By using this site, you accept these. You can clear cookies anytime via your browser, or block them with an ad-blocker.
9. Children
The site is for businesses, not children. We don’t knowingly collect data from anyone under 16. If we learn we have, we delete it promptly.
10. Changes to this policy
We update this policy as the product evolves. Substantive changes (new categories of data, new sub-processors, new purposes) will be flagged at the top of this page for 30 days from the effective date. The “last updated” date near the top reflects the most recent revision.
